Apprenticeship Description

Summary of vacancy:

We are looking for a proactive and organised HR & Office Administration Apprentice to support the smooth day-to-day running of the office and provide administrative support to the HR team. This is an excellent opportunity for someone looking to begin a career in Human Resources while gaining hands-on experience in office coordination, employee support, and workplace operations. 

The successful candidate will play a key role in creating a welcoming and professional environment for employees, visitors, and new starters, while supporting a variety of HR and office administration activities across the business. 

What will the apprentice be doing:

Office & Facilities Coordination 

  • Act as a first point of contact for general office issues and coordinate with external contractors such as plumbers and handymen when required. 
  • Communicate office updates and company announcements to staff as directed.
  • Support with general office tasks, including arranging key cutting and providing contractor access to the basement or other areas when needed.
  • Help ensure the office environment remains safe, organised, and operational. 

Office Supplies & Ordering 

  • Manage the weekly Tesco order, ensuring supplies are complete and distributed to the relevant departments/floors.
  • Notify teams when deliveries arrive and coordinate collection of supplies.
  • Place ad hoc orders for departments across the business, including items requested by teams such as Marketing.
  • Arrange catering and food orders for Senior Leadership Team (SLT) meetings and visitors, including external guests,
  • Organise any requests by the SLT.

Reception & Visitor Management 

  • Support the reception area on the 2nd floor by greeting visitors and creating a professional first impression.
  • Welcome interview candidates, ensure they sign in, and notify hiring managers of their arrival.
  • Assist with booking and coordinating meeting rooms for managers and business needs.

New Starter & HR Support 

  • Welcome new starters to the business and help prepare induction rooms and equipment ahead of their arrival.
  • Assist the HR team with administrative duties and general HR support asrequired.
  • Build positive working relationships with members of the Executive Leadership Team (ELT) and colleagues across the business.

Employee Engagement & Events 

  • Support the organisation and coordination of company social events and employee engagement activities.
  • Assist in promoting a positive workplace culture and employee experience.

Working Hours:

Monday – Friday 9am – 5pm

Skills Required:

  • Strong organisational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Friendly, professional, and approachable manner.
  • Ability to manage multiple tasks and prioritise workload effectively.
  • Confident using Microsoft Office applications including Outlook, Word, and Excel.
  • Willingness to learn and develop within a HR environment.

Must have Maths and English GCSE Grade 4s over above, or Functional Skills level 2
